Multiple Automated Sync / Integration Sources

Run more than one automated employee sync source at once (HRIS, legacy BambooHR, SFTP), how each syncs into its own list, set them active or inactive, and clear duplicate records off the quarantine list.

Written by Tom O'Dea

Blissbook can sync your employee list from more than one automated source at the same time. Connect a standard HRIS integration, a legacy BambooHR integration, and an automated SFTP sync in any combination, then manage them all from one page.

How it works

Each source you connect gets its own employee list. Blissbook syncs people onto these lists, then consolidates every active list into your single People page. That middle step gives you a chance to check and adjust what each source sends before it reaches the rest of Blissbook.

Running more than one source at once is a setting the Blissbook team turns on for your account. Once it's on, a + button appears on the Employee Sync page next to Employee List Sync. Click it to add each additional source.

To get there, go to People (in the main nav), then click Settings (top right corner).

Because each source keeps its own list, you can see exactly who's coming from where. Click the synced or people count on any source to open that source's list.

Note: "people" = total "synced" minus "excluded".

Make a sync source active or inactive

Every source can be set to Active or Inactive.

  • Active lists sync into your People table in Blissbook. New people added to an active list show up in Blissbook automatically.

  • Inactive lists stay connected but don't sync. People already in Blissbook stay put, but new people who come in on that list aren't added and anyone archived on that list stays in Blissbook.

To change a source's status, open its ••• menu and choose Set Active or Set Inactive. You can activate a source once its first sync has finished.

The main use case for Inactive sources is so you can connect and verify a new source while your current one keeps running, then switch the old one off and the new one on when you're ready. The full walkthrough for that lives in the guide on migrating to a new employee sync source.

When records conflict: the quarantine list

With several lists feeding one People page, two sources can sometimes describe the same person in ways that clash. When a record has a duplicate email address or a duplicate employee ID, Blissbook can't tell which version is right. Also, if a record has no way to sign in, it's held back from the sync. Rather than hold up everyone else's sync, it sets any offending records aside on the quarantine list.

When any records are quarantined, a Quarantined button appears on your Blissbook sync summary. Click it to open the list.

Each quarantined record shows:

  • Its error code, like DUPLICATE_EMAIL_ADDRESS or DUPLICATE_EMPLOYEE_ID, so you know why it's being held back.

  • The employee list it came from, so you can spot which two sources are colliding.

Quarantined records don't sync. If someone was already in Blissbook and then landed in quarantine, they've been archived and have lost access until you sort out the conflict. Once that's resolved, they sync back in on their own.

Clear duplicate records from the quarantine list

Most quarantine conflicts come down to the same person showing up on two lists with a matching email or employee ID. To clear one, decide which record you want Blissbook to keep, then exclude the other.

On the quarantine list, find the record you don't want to sync and check its Exclude from Sync box.

Blissbook skips that record on the next sync, which clears the conflict and lets the record you kept sync in normally. It's fully reversible. Uncheck the box anytime to bring that record back.

Note: The Exclude from Sync checkbox handles one record at a time. To filter out whole groups of people on an ongoing basis, like test accounts, contractors, or entities you don't sync, set up an exclusion list instead.

Sync conflicts can be fiddly, and you don't have to untangle them alone. The Blissbook team is always glad to take a look. Just reach out.
