When you're switching HRIS, payroll, or AD platforms (or moving from SFTP/manual sync to an automated integration), you can migrate your Blissbook employee sync without losing any employee data, signatures, or compliance history. Blissbook supports running multiple sync sources side by side so you can verify the new data before cutting over.
Before you start
Contact the Blissbook team and ask to enable multiple employee sync sources on your account. This is a one-time setting change we handle on our end.
Once enabled, a + button appears on the Employee Sync page next to Employee List Sync.
Set up the new sync source
Go to the Employee Sync page.
Click the + button to the right of Employee List Sync.
Select the platform you want to connect (HRIS, AD, or payroll).
Click Continue and follow the on-screen instructions to complete the connection.
If someone else on your team needs to handle the integration (often IT), add them to your Blissbook organization with the Tech role and send them a direct link to the sync page.
Evaluate the new employee list
Before switching over, verify the new data looks right. Click the synced or people count next within the new sync source to view the imported employee list.
Check for:
IDs and email addresses: Does every employee have an ID and email? Do those identifiers match the existing records in Blissbook? This is how Blissbook links "old" records to "new" records during the migration. If they don't match, records could be archived and recreated as new people (losing user record history, including past acknowledgements/signatures).
Standard fields: Verify that Name, Last Hired Date, Location, Manager, and similar fields are populated. If any show "None on file," there may be a permissions issue in your HRIS platform that you need to resolve so Blissbook can get all the data it needs.
Custom fields: Are all the custom fields you need present? Do the column headers match what you have today? If you need new custom fields from the new source, let the Blissbook team know and we'll add the mappings.
Groups: If you use groups for personalized content, saved segments, or saved reporting views, check that the group values match your current setup. If they don't match, flag it and let the Blissbook team know now or later. Groups are adjusted after you deactivate the old sync (see below).
Employee count: If the count is significantly different from your current sync, you may need an exclusion list to filter out test accounts, contractors, or employees from entities you don't sync.
SSO identifier: If you use SSO, confirm the new employee list includes the identifier your SSO configuration expects (email, Employee ID, or SSO Identifier).
The Blissbook team is happy to help evaluate the new list. Just ask.
Complete the migration
Once the new data checks out:
1. Deactivate the old sync source
Set the old employee list to Inactive:
2. Migrate groups (if needed)
If your group values are changing between the old and new sync source, now is the time to update them. Contact the Blissbook team to adjust the group values to match what the new source will send.
This is easier than the alternative: updating every expression, saved report, and segment that references those groups. The Blissbook team handles this step with internal tools.
3. Handle ID or email mismatches (if needed)
If employee IDs are changing in the new source, make sure email addresses are not also changing at the same time. If both change, Blissbook can't match the old record to the new one, and employees will be archived and recreated (losing their signature history).
To check for mismatches:
Export the employee list from the current People page and compare it against the new sync data in a spreadsheet.
Or use filters on the People page and in the new sync's employee table to compare side by side.
If you find email addresses that will change alongside IDs, update those email addresses manually in Blissbook now (while there is no active automated sync) so they match what the new source will send.
4. Activate the new sync source
Set the new employee list to Active. Blissbook will begin syncing from the new source.
